The Swiss Post Pension Fund archives 830‘000 documents with SAPERION
May 2008 and the Swiss Post Pension Fund (PK Post) in Bern not only archives all client data and correspondence but also all its emails using Saperion ELM and Office Integration.
Urs Buess, head of Organisational Development: „Taking into account the costs of a traditional paper archive, office space, air conditioning and technical infrastructure as well as quick and secure access – there was never a question of not using an electronic archiving system.”
The choice for Saperion was made, as it fulfilled the requirements laid down for the archiving system. Standardised procedures and a competent local partner were also important factors but central was the issue of meeting legal requirements and a secure audit trail. The archive solution also had to harmonise with the existing hardware and software environment and integrate with the specialised insurance software, Output Management system and Microsoft Office. Finally the architecture of the system was crucial, offering a modular structure to ease integration with external systems and allow step by step expansion of the system.
The time saved when compared to a standard paper archiving system is around 80%. Simultaneous access by multiple staff to the same document is normal and controlled.
The PK Post is 100% satisfied with the Saperion Solution and the competent support of the staff at Henrichsen AG has contributed to this satisfaction. U. Buess: „We have reached our goal. The archive manages the complete dossier for each client.“ January 2008 the PK Post administered 110.000 insured dossiers with around 830.000 documents in the Saperion archive system. The maximum retention period for these documents could be over than 100 years.
