Challenge
- In order to further improve our excellent position as a telecommunication systems engineering and services company, offering -Turn-key- projects for all telecommunication needs, we must also be a leader with a reputation for speed, flexibility, quality and customer satisfaction
- Large amounts of information and company knowledge are held in documents.
- Besides the obvious reasons i.e. the streamlining and transparency of business operations, document security, long-term file storage and global access to all relevant information, an enterprise- wide document management and archiving environment is absolutely necessary
Solution
- The integration with MS Office concerns the creation of the appropriate index and query masks for archiving, retrieving and handling of documents directly through the MS Office applications (Word, Excel or PowerPoint) environment to Saperion.
- Automatic archiving of the incoming and outgoing e-mails (from MS Outlook) has been implemented.
- the system has been customized through the use of various macros (VB Scripts). Customized system features, such as the creation of -dynamic indexing and query forms or -email notification have improved the system's usage and user friendliness.
- Another customized solution was the integration with Siemens® Xpressions© Fax Server. In this case, a macro was used to automatically collect the incoming faxes from the Fax Server and insert them to the corresponding user's Input Tray, in order for the user to be able to handle and archive them.
- The user is able to send archived documents as faxes through the Fax Server directly from Saperion interface.
- advanced security features have been implemented with the use of complex ACLs, in order to assure that all users can have access to their documents, without compromising the company's security policy.
