The first step and foundation is a process map that depicts:

Glossary provides uniformity

Once all of a company’s processes have been captured, uniform use of terminology becomes very important. A glossary for the various diagram types makes this easier by documenting the proper use of each term. This makes it easy to recognize which terms are located at specific locations in the various diagrams.

Start with a conversation

Challenge:

Knowledge about individual steps in a process is commonly distributed among many different people, which can make it difficult to work out activity chains. For this reason, the most practical approach is often to search for the information “objects” that various departments exchange with each other.

Solution

Signavio’s solution is the new conversation diagram of BPMN 2.0. The knowledge gained with this tool makes it easier to subsequently model activity chains.

Collaborative modeling

Challenge

It is not always possible for all process participants to participate in a single workshop.

Solution

Important people can be invited via e-mail from within Signavio-modeled processes to review and comment on the model. This is where another major strength of the editor comes into play. As a browser-based solution it requires no installation whatsoever, allowing participants to contribute even while on the road, such as from an iPad.

Publishing – QM Manual

Challenge

Once a process has been completely modeled (syntax and plausibility checks also OK), it must be documented and published. In the worst case scenario, this will involve multiple steps on several different platforms.

Solution

Signavio lets you release a completed process for general viewing and publish it on your company’s Intranet. If work instructions for individual tasks are also included, then all users will have access to the typical quality management manual.
You can also take advantage of functions for creating PDF documents or for professional printing of graphical diagrams. All of these things occur in a single step.

Planning and optimization with simulation

Process managers often make personnel-related plans. For example, promotional measures may result in a certain number of responses that must be handled by internal salespeople. These needs are met by adding consumption values, average processing times, and branching probabilities to the models in order to run simulations. This data is transferred to Excel tables that facilitate "pivoting" on the control values for processing quantities and resource availability. This makes it easy to see how many personnel will be required for a specific situation and at what expense.

Taking the next step. Monitoring and evaluating production data:

Sometimes, during the course of a workday, a process manager may need an overview of the current status of his processes. In these situations, the SAPERION BAM Dashboard powered by QlikView is available for analyzing production data. The Dashboard’s cockpit provides valuable information about employee utilization as well as compliance with things like Service Level Agreements (SLAs).
These evaluations are modeled on the processing data of SAPERION’s own Workflow tables.
